Terms of Service

1. Agreement

By accessing or using the Ask Bob platform you agree to these terms. If you use Ask Bob on behalf of an organisation, you confirm you are authorised to bind that organisation, and “you” refers to it.

2. The service

Ask Bob parses supplier quotes, provides market intelligence, and negotiates on your behalf within a mandate you approve. Ask Bob assists your procurement decisions; it does not replace your judgement. You remain responsible for reviewing recommendations and for any contract you enter into.

3. Proposals are non-binding

Messages generated and sent through Ask Bob — including counter-offers, target prices and term proposals — are non-binding commercial proposals, not offers capable of acceptance and not contracts. No purchase order, agreement or other legal obligation is created until you separately execute it through your own contracting process. You are responsible for reviewing the terms of any deal before committing.

4. Automated emails sent on your behalf

Ask Bob sends automated email to suppliers on your behalf and in your name. Each message identifies Ask Bob as the buyer’s AI negotiation assistant and sets a reply-to address so suppliers can reach a human on your team. By enabling autonomous mode you authorise these sends within the mandate and the auto-send cap you configure. You remain responsible for the accuracy of the underlying quote and supplier data you provide.

5. Your responsibilities

  • Provide accurate information and keep your credentials secure.
  • Ensure you have the right to upload the quotes, documents, and supplier contacts you submit.
  • Use the platform lawfully and not attempt to disrupt or reverse-engineer it.

6. Mandates & autonomy

Negotiation autonomy is governed by the mandate you approve (target, walk-away, auto-accept, tradeables, rounds). Actions outside that mandate are paused for your confirmation. You are responsible for the mandates you approve.

7. Data

Our handling of personal data is described in the Privacy Notice. Where we process data on your organisation’s behalf, a Data Processing Agreement applies.

8. Availability & changes

We aim for high availability but provide the service “as is” without warranties beyond those required by law. AI-generated outputs may contain errors and should be reviewed before they are relied upon. We may update the service and these terms; material changes will be notified through the platform.

9. Liability

To the extent permitted by law, our liability is limited as set out in your order or subscription agreement, and Ask Bob is not liable for commercial outcomes of negotiations conducted through the service. Nothing in these terms excludes liability that cannot be excluded by law.
